What a China Sourcing Agent Actually Does - and When You Need One
Supplier search, price comparison, sampling, inspection and order follow-up explained - and the three situations where an agent earns their fee.
Buying from China usually starts with the same question: order directly through a platform, or work with a sourcing agent on the ground. The right answer depends on how much time you have, how well you know the supplier, and what happens when something goes wrong. This article explains what a sourcing agent actually does day to day, so you can decide which side of that trade-off you are on.
What a sourcing agent actually does
A sourcing agent acts as your buying office in China. The work is broader than 'finding products': it covers the whole path from requirement to shipment, and most of it happens before and after the part buyers usually focus on - the order itself.
Supplier search and price comparison
The agent turns your specification into comparable quotations. Instead of collecting prices quoted on different assumptions, you receive a shortlist where price, tooling, lead time and quality claims are stated on the same basis.
Sampling and quality inspection
Samples are arranged, checked against the specification and shipped for your approval. Before shipment, the batch is inspected - typically with AQL-based sampling - and you receive photos, videos and a written report rather than reassurances.
Purchase order management
The agent places and follows the order, tracks the production schedule, and coordinates labelling, consolidation and export documents through to dispatch. Communication happens in working hours in China, in your language.
When you can buy without an agent
If you already have vetted suppliers, speak the language, and have someone who can visit the factory when needed, a direct relationship is often cheaper and perfectly workable. An agent adds most value between 'first contact' and 'repeat orders'.
When an agent earns their fee
Three situations stand out: you are choosing suppliers remotely and cannot verify claims yourself; it is your first order and the process, documents and inspection standards are new; or you are spreading orders across several factories and need one coordinated thread. In each case the fee is small against the cost of a wrong supplier or an uninspected batch.
What information to send before you inquire
Prepare a specification or a reference sample, your target quantity, packaging requirements, and the destination market including any compliance needs. With these four inputs, a sourcing agent can come back with a realistic shortlist instead of generic questions.

Does using an agent raise my product cost?
Quotations through an agent should be comparable to what you would negotiate yourself, plus a service fee. The saving comes from avoided defects, fewer missed shipments and less rework - not from a lower headline price.
Do agents take ownership of the goods?
No. Orders, payments and terms stay between you and the supplier. The agent manages the process, inspection and paperwork on the ground.
